Brief it like a colleague
A vague question gets a vague answer. Four short lines fix that.
The idea
Think of an AI chatbot as a smart new joiner on day one. It knows a lot. It knows nothing about you, your job or what you want. If you say "explain pivot tables", you get a textbook answer.
Give it a short brief instead. Use four parts: Role (who it should act as), Task (what to do), Context (what it needs to know about you) and Format (how the answer should look).
You do not need fancy words. Plain sentences work. The more specific each part is, the less you edit afterwards.
Use any free chatbot for this course: ChatGPT, Gemini, Grok or Claude. The prompts work in all of them. The wording of the answers will differ a little.
Your task
Learn pivot tables in 10 minutes
You know basic Excel or Google Sheets. You have never used a pivot table. Paste the prompt below into your chatbot.
Role: You are a patient Google Sheets trainer. Task: Teach me what a pivot table is and how to make my first one. Context: I use Google Sheets daily for simple lists and totals. I have never used a pivot table. I have a sheet with columns Date, Salesperson, Region and Amount. Format: Give me 1) a one-sentence definition, 2) exactly 5 numbered steps to build a pivot table that shows total Amount for each Region, 3) one common mistake to avoid. Keep it under 150 words.
What you should get
A real example of a good result. Your wording will differ a little. The shape and the facts should match.
Printed resultExample
A pivot table is a summary table that groups your rows and adds them up for you. 1. Click any cell in your data, then choose Insert > Pivot table. 2. Click Create to put it on a new sheet. 3. Next to Rows, click Add and choose Region. 4. Next to Values, click Add and choose Amount. Keep the summary as SUM. 5. Read the totals. You now see one total per Region. Common mistake: leaving blank rows or merged cells in your data. Pivot tables need one clean header row and no gaps.
